How to Upload and Share Documents on a Property Listing in Openn
This video explains how to upload, manage, and share documents on a property listing in Openn. Agents will learn how to control who can access each document, including setting documents to public, sharing with specific individuals, and importing saved templates such as contracts of sale.
WHAT THIS COVERS
Accessing the Documents Tab
- Navigate to the property dashboard.
- Click the Edit button in the top right-hand corner.
- Select the Documents tab — the fifth tab from the left.
Uploading Documents
- Click Upload Files to manually select documents from your computer, or
- Open your documents folder and drag and drop files directly into the Documents section.
- Files upload quickly.
Setting Document Visibility
Documents are kept private by default, meaning no one with the property URL can access them until you change the visibility setting.
To make a document public:
- Click the three dots next to the document.
- Click Share and select Public.
- The document will now be accessible to anyone with the link.
- Tick the checkboxes next to the documents you want to share.
- Click Share and set them all to Public in one step.
To share multiple documents at once:
Sharing Documents with Specific Individuals
- If you want to restrict access to certain buyers — for example, sharing a building and pest inspection only with buyers who have already submitted an offer:
- Select the document.
- Click Share.
- Choose the Individuals option.
- Select the specific people you want to grant access to.
Importing Saved Templates
- Openn allows you to import pre-saved document templates, such as a contract of sale or annexures.
- Click the three dots in the top right of the Documents section.
- Select Import Templates.
- Find and select the templates you wish to upload — for example, a contract of sale and any relevant annexures.
- Click Import.
- Set the imported documents to public if required.
