How to create and send property proposals with Pitch AI

Pitch AI lets you run a comparative market analysis on any property and turn it into a branded proposal without leaving Openn. You can send it as a PDF, a web link, an email or an SMS. Live analytics show you when the vendor opens the proposal and which sections they spend time on, and they can accept it online. Pitch AI is currently in beta and free to use.

WHAT THIS COVERS

Finding Pitch AI

Log in to Openn and click Proposals on your dashboard to open the proposals portal. The portal lists all your proposals, with status tags (such as Draft and Accepted) to help you find them quickly.

Setting up your agency (recommended first step)

Before you create your first proposal, set up your agency details so they fill in each proposal automatically.

  1. Click your profile avatar (top right) to open the account menu, then select Agency. Only agency admins can see this menu.
  2. Check your agency details. Most of them carry across from your existing Openn profile.
  3. In Branding, upload logos that work on light and dark backgrounds, then add your hex colours and brand guidelines. Advanced options are available if you want more control.
  4. In Team, invite agents and assign roles.
  5. In Legal clauses, add any disclaimers you want at the bottom of every proposal (for example, that the price is indicative at the time of sharing).
  6. In Account settings, complete your profile and turn on Notifications so you’re alerted when vendors engage with your proposals.

💡 The more you complete here, the less you’ll need to edit on each proposal.

Creating a proposal: the four-step flow

  1. Property. Click Create proposal and enter the property address.
  2. Comparables. Set your search parameters: radius, time period, property type, bedrooms, bathrooms and price range. Tick the option to include properties currently for sale if that helps. Click Search comparables, then choose the sales you want to include.
  3. Recipient. Choose an existing contact or add a new one with a phone number and email. You can skip this step if you’re only testing.
  4. Template. Pick a preset template or one you’ve saved, then edit it.

💡 Set the radius and time period based on how much the market moves. Use a tighter range in high-volume suburbs and a wider one for prestige or rural properties.

Editing your proposal

  • Hover over any element to change it, including the cover photos.
  • Click a section to try different layouts in the sidebar, then click Apply. Edits made directly on the page save automatically.
  • Drag sections by the move bar to reorder them, or delete any you don’t need.
  • Click Edit package in the marketing section to build packages (for example, Standard and Gold). Totals are calculated for you.
  • Add testimonials and a call to action, such as a booking link to your calendar.
  • Use the menu to set an expiry, restore earlier versions or change the proposal’s personality.

💡 You can’t really break anything, so experiment freely. If you don’t like the result, delete the proposal and start a fresh one.

Sending your proposal

Click Send and choose how to share it:

  • Email or SMS. Add a short summary and a custom subject line, and click Preview to see how it will look.
  • Share link. Copy a link to open on your tablet or phone at the appraisal.
  • PDF. Download a print-ready version for face-to-face meetings.
  • Collaborators. Add a co-listing agent and control what they can change.
  • Privacy settings. Set a password or an expiry date on the link.

📋 Sending from Openn rather than as a standalone PDF gives you engagement insights on every proposal.

What the vendor sees

The vendor opens a branded proposal and can Arrange meeting, Request changes or Accept proposal. To accept, they enter their name and email and confirm with a verification code. You receive an email confirming they want to proceed.

Reusing proposals and templates

From the proposals dashboard, click the three dots on any proposal and select Templatize. This option will soon be renamed Use template. Pitch AI recreates the proposal with fresh comparables for the new property. You can keep separate templates for private treaty, online auction, market updates, appraisals and full presentations, either for yourself or shared with your agency.

KEY TERMS

Proposal: A branded document combining your comparative market analysis, agency information and marketing options. You can share it as a web link, PDF, email or SMS.

Comparables (comps): Recent sales of similar properties used to support your price guidance. They come from Domain’s API, which also brings in third-party data from other sources.

Template: A saved proposal layout that you can reuse for any property. It can belong to you or be shared across your agency.

Templatize / Use template: Creates a new proposal from an existing one, keeping the layout and content but updating the comparables for the new property.

Live analytics: Notifications and a regular digest showing when a vendor views your proposal and which sections they spend time on.

COMMON QUESTIONS

Is Pitch AI free?
Yes, while it’s in beta. After that, it will stay included on some plans, and others will have a small additional cost.

Where does the comparable sales data come from?
From Domain’s API, which also brings in third-party data from other sources. If an address isn’t returning the data you need, let Openn Support know.

Can I search comparables for rural properties?
Yes. You can search a wider radius and filter by rural or residential property type.

Can I print my proposal?
Yes. Pitch AI produces a clean, print-ready PDF that you can download or email.

Can I make a test proposal without sending it to anyone?
Yes. Skip the recipient step and go straight to the template. It’s a good way to build your agency’s standard template.

How do I know when a vendor has viewed my proposal?
Turn on notifications in Account settings. You’ll be alerted when a proposal is opened.

Can I get help setting up my templates?
Yes. Contact Openn Support to book a one-on-one session to set up your templates.
