How to Manage Team Settings on a Property in Openn

This video explains how to add and manage team members on a property listing in Openn, including joint listing agents, admin staff, and auctioneers. The setup differs slightly between private treaty and auction sales, and this video covers both.

Accessing Team Settings

  1. Navigate to the property page.
  2. Click Edit in the top right-hand corner.
  3. Select the Team tab — the third tab from the right.

        Setting Up a Team for a Private Treaty Sale

        • Add any joint listing agents from within your agency by selecting them in the agents section.
        • Add up to two agency admin staff who will receive notifications about any updates or changes in the campaign.
        • In total, up to five people can receive notifications on a private treaty listing: up to three listing agents and two admin staff.

        Setting Up a Team for an Auction

                          • The auction team setup follows the same process but requires the addition of an auctioneer.
                          • Navigate to the property, click Edit, and select the Team tab.
                          • You will see the listing agent field alongside an auctioneer field.
                          • When adding an auctioneer, you have three options:
                            • I'm the auctioneer — the listing agent will also conduct the auction.
                            • I'm using my own nominated auctioneer — enter the details of your preferred auctioneer.
                            • I would like to use a certified Openn auctioneer — Openn assigns an accredited auctioneer to the campaign.
                          • Once auctioneer details are entered, they will receive all relevant campaign notifications.
                          • Agency admin staff can also be added to auction listings in the same way as private treaty.

                          KEY TERMS

                          • Joint Listing Agent — an additional agent from the same agency who is co-listed on the property and receives campaign notifications.
                          • Agency Admin Staff — support staff added to a listing who receive notifications about campaign updates and changes.
                          • Auctioneer — the person responsible for conducting the auction; required as a separate team member on any auction listing in Openn.
                          • Certified Openn Auctioneer — an accredited auctioneer provided through the Openn platform, available for agents who do not have their own.
                          • Team Tab — the section within the property edit screen where listing agents, admin staff, and auctioneers are added and managed.

                                          COMMON QUESTIONS

                                          How many people can receive notifications on a property listing? Up to five people can receive notifications on a private treaty listing — a maximum of three listing agents and two admin staff.

                                          Do I need to add an auctioneer for every listing? Only for auction listings. Private treaty sales do not require an auctioneer to be added to the team.

                                          What options do I have if I don't have my own auctioneer? You can select the option to use a certified Openn auctioneer, who will be assigned to your campaign through the platform.

                                          Will team members be notified automatically once added? Yes. Once added to the team, all members — including joint agents, admin staff, and the auctioneer — will receive relevant notifications about updates and changes in the campaign.

                                          Can I add team members from outside my agency? The video shows that joint listing agents are selected from within the agency. For auctioneers, you can nominate your own external auctioneer or use a certified Openn auctioneer.
